Position Description

Performs support and coordinative work in direct support of an administrative team of a specific administrative office or department. Coordinates and assists with functions such as planning, researching, budgeting and program implementation and evaluation. Performs responsible and complex office support duties, thus relieving the administrator of these duties. Work is performed under administrative supervision.


Major/Essential Functions

  • Provide high-level executive support to the Director of ISCE including: managing a complex calendar of appointments and meetings; drafting correspondence, memos and letters; coordinating business travel (conference registration, hotel bookings, flights); processing P-card expenses and travel expense reports; managing professional membership renewals; and supporting special projects as needed.

  • Provide high-level executive support to the Director of ISCE including: managing a complex calendar of appointments and meetings; drafting correspondence, memos and letters; coordinating business travel (conference registration, hotel bookings, flights); processing P-card expenses and travel expense reports; managing professional membership renewals; and supporting special projects as needed.

  • Plan and coordinate institute meetings and events: develop meeting materials (agendas, minutes, PowerPoint presentations, brochures) in collaboration with the Media Coordinator; serve as event coordinator for seminars, webinars, workshops, symposia and site visits (managing end-to-end logistics). 

  • Manage daily office operations for all ISCE suites: inventory control, supply ordering, equipment maintenance and workspace organization; serve as the front-line ambassador, providing excellent customer service and maintaining a professional, welcoming environment for visitors and stakeholders; uphold confidentiality of ISCE information and act with discretion at all times. 

  • Promote a positive image of ISCE, support the Director and institute staff, and perform other duties as assigned to accomplish the institution’s mission.


Knowledge, Skills, and Abilities

Proficiency in written and mathematical processes as may be reflected by the completion of high school or the equivalent. Two years progressively responsible clerical experience. Additional education and/or related experience to equal two years may substitute on a year for year basis.


Required Qualifications

Bachelor's degree in job related field plus one year responsible experience. Additional specific job related experience may substitute for required education on a year for year basis.

About the College 

The Edward E. Whitacre Jr. College of Engineering is home to seven academic departments (chemical, civil & environmental & construction, electrical & computer, industrial, mechanical, petroleum, and computer science), offers over 30 degrees to about 6,600 students, including more than 850 graduate students. Texas Tech University Institute for Sustainability and Circular Economy (ISCE) is dedicated to developing solutions to major society problems while integrating sustainability, resiliency, and circular economy practices. The vision of the NSF Engineering research center CASFER is to enable resilient and sustainable food production by developing next-generation, modular, distributed, and efficient technologies for capturing, recycling, and producing nitrogen-based fertilizers. CASFER is led by Texas Tech University with four partner institutions, Georgia Tech, MIT, Case Western Reserve University, and Florida Agricultural and Mechanical University.
